Tips when working with volunteers at events

Providing event volunteers the best experience at your event is important to ensure they are engaged, happy, and motivated to contribute to the success of your event, as well as building a strong team of volunteers for future events. We’ve put together a few things which can go a long way to helping achieving that;

Provide clear instructions and expectations

Ensure that the volunteers whom are helping out at your event know what is expected of them and that they know how to perform their duties. Provide clear instructions and a detailed orientation on the event, including their role & schedule at the event, as well as an overview of the goals of the event.

Show appreciation

Show your volunteers that you appreciate their contribution by thanking them and recognising their efforts throughout the event. Providing small tokens of appreciation, such as t-shirts, sticker, gift cards, or something they might not normally be able to buy, can also be a good way to show your gratitude.

Create a positive working environment

Make sure your volunteers have a comfortable and safe working environment. Provide access to water, toilets, and comfortable seating, as well as any protective gear they may need (and provide training on how to use it, if necessary).

Offer breaks and refreshments

Volunteers can get tired and hungry while working at your event, so make sure to provide them with regular breaks and refreshments. Snacks, meals, and drinks/refreshments should be readily available throughout the event.

Assign them to tasks based on their interests and skills

When assigning tasks to volunteers, try to match their interests and skills with the duties and responsibilities you’ve assigned them to. This can go a long way to ensuring that they are happy and motivated while assisting at your event.
